Scheduled Workflows

The Schedule feature in FlowMattic is a powerful tool that enables users to automate their workflows at specific times and intervals. It offers the ability to set a specific time and date when the workflow will start, and then repeat the process at specified intervals, such as hourly, daily, weekly or monthly.

For example, if a user wants to send an email newsletter every Monday at 10 am, they can set the Schedule feature to execute the workflow at that specific time and date, and then set it to repeat every Monday at 10 am.

This functionality is beneficial for users who need to perform repetitive tasks on a regular basis, as it helps to save time and reduces the risk of human error. With the Schedule feature, users can ensure that their workflows are executed consistently and automatically, allowing them to focus on other important tasks.

Here are the step-by-step instructions for creating a schedule using FlowMattic:

  1. To create a new workflow on FlowMattic in WordPress, you need to first log in to your WordPress dashboard and navigate to the FlowMattic -> Workflows. Now, click on the "New Workflow" button.

  1. By default, the trigger step is added with webhook module selected. Click on the trigger step and then in “Setup” tab, click the “Change” button, Then, choose the “Schedule” module from the FlowMattic Built-in Tools-

  1. Once you’ve selected the Schedule application, click the “Choose an Event” dropdown to select the event you want to schedule the workflow.  Depending upon your requirement you can select from various options available from every minute - every month, whenever you want to execute the workflow.

  1. In the “Event” section, select the various options available to get specific the frequency of the event. 

4.1 Every X minutes - Allows you to trigger the workflow after every X number of minutes. You can define the number of minutes in the next option made visible after this event selection. Maximum number of minutes you can set is 59 minutes.

4.2 Every Hour - This option allows you to trigger the workflow every hour. After every hour, the trigger will be executed.

4.3 Every week - This option allows you to trigger the workflow on a specific day and time of the week. You can select the day of the week and set the specific time in the next option made visible after this event selection. For example, if you select “Every week” and set it to trigger on Tuesday at 3 PM, the workflow will trigger every Tuesday at 3 PM.

4.4 Every day - This option allows you to trigger the workflow every day at a specific time. You can set the specific time in the next option made visible after this event selection. For example, if you select “Every day” and set it to trigger at 8 AM, the workflow will trigger every day at 8 AM.

4.5 Every month - This option allows you to trigger the workflow on a specific day and time of the month. You can select the day of the month and set the specific time in the next option made visible after this event selection. For example, if you select “Every month” and set it to trigger on the 15th day of the month at 10 AM, the workflow will trigger every month on the 15th day at 10 AM.

  1. By default, the scheduled workflows are set to not execute on weekends. If you need to trigger the workflow even on weekends, go the configure tab and check the box for “Trigger on weekends”.

  1. In the “Time” section, enter the specific time of day that you want the event to trigger. This option is only available when “choose the event” button is selected among the three options from-
  • Every Day

  • Every week

  • Every Month.

  1. Finally, go to the Test tab and click the “Save and Close” button. The scheduled workflow will start executing as soon you publish the workflow.

Conclusion

Once you’ve completed these steps, the event will be scheduled to trigger at the specified frequency and time. You can also edit or delete the scheduled event from the Schedule by FlowMattic dashboard if necessary.
